How to import receipts into QuickBooks from a spreadsheet

Most accounting software — QuickBooks, Xero, Wave, FreshBooks — can import a batch of transactions from a CSV file. That makes a clean spreadsheet the fastest bridge between a shoebox of receipts and your books: extract once, review once, import once.

The column layout that imports cleanly

QuickBooks' bank-transaction import is happiest with a simple three- or four-column file:

Date, Description, Amount
09/04/2026, Shell #4471 fuel, -50.00
09/03/2026, Amazon office supplies, -34.95

For an expense/bill import (QuickBooks Online supports a bill CSV), you can carry more detail: Vendor, Bill No, Bill Date, Due Date, Terms, Account/Category, Amount. Keep the category names identical to your chart of accounts so they map on the first try.

Five things that break an import

  1. Date format. Match what QuickBooks expects (usually MM/DD/YYYY). Mixed formats in one file cause silent misreads.
  2. Currency symbols and thousands separators. Amounts should be plain numbers: 1234.56, not $1,234.56.
  3. Sign convention. Expenses are negative in a bank-transaction import. Decide and be consistent.
  4. Category names that don't exist yet. Create the account in QuickBooks first, or the row imports uncategorized.
  5. Extra header rows or a totals row. Remove anything that isn't a transaction before importing (import the data, keep your own copy with the totals row).

A repeatable monthly routine

  1. Photograph receipts as you get them.
  2. Once a week (or once a month), extract them into a spreadsheet.
  3. Review: fix amber cells, check the math, set categories.
  4. Export a CSV in the layout your software wants.
  5. Import, review the preview in QuickBooks, confirm.

After the first month it takes minutes, because the categories and vendors are already familiar.
